e-Sanad & Apostille, explained properly

What apostille actually is, whether your country needs apostille or embassy attestation, the exact stamp sequence, and the five defects that cause rejections.

Apostille is the Ministry of External Affairs' single-stamp legalization that makes an Indian document valid in every Hague Convention country — and e-Sanad is the Government of India's online channel for getting it. This guide explains what apostille actually is, whether your destination needs apostille or embassy attestation, and the exact sequence your document will travel.

What is an apostille, in plain words?

An apostille is a standardized certificate the MEA attaches to your document, confirming to foreign authorities that the signature and seal on it are genuine. Once apostilled, the document is accepted in all Hague Apostille Convention member countries without any further embassy step. It is not a translation, not a notarization, and not an opinion about the content — it is the Government of India vouching for the document's official signatures.

Apostille or embassy attestation — which does your country need?

One question decides it: is the destination a Hague Convention member? Most of Europe, Australia, and many other countries: apostille, chain complete. The Gulf states (UAE, Saudi Arabia, Qatar, Kuwait, Oman, Bahrain): MEA attestation first, then that country's embassy attestation on top. Getting this wrong is the most expensive mistake in document work — people buy an apostille, fly, and discover their employer needed the embassy chain. Tell us the country before spending anything; the answer is free.

What is e-Sanad and how does it change the process?

e-Sanad is the MEA's digital pipeline: documents from participating issuing authorities can be verified and apostilled through an online workflow instead of physical counters at every stage. Where your document's issuer participates, e-Sanad removes queues and courier legs from the middle of the chain. Where it does not, the classical physical route still works — the output apostille is identical. Which route your specific document takes is a checklist question we answer in one WhatsApp reply.

The exact sequence your document travels

Step 1 — state authentication. Educational documents go through the issuing state's designated authority (SDM or HRD — they differ in price, days, and which destinations insist on which). Personal documents (birth, marriage) go through the Home Department or SDM route; commercial documents go through the Chamber of Commerce. Step 2 — MEA. The ministry applies the apostille (Hague destinations) or its attestation stamp (non-Hague, including the Gulf). Step 3 — done, or embassy and beyond. Hague destinations stop here. Non-Hague destinations continue to the destination country's embassy or consulate, then often that country's own Ministry of Foreign Affairs (MOFA), plus certified translation where required, before the document is returned. Order is everything: an MEA stamp on an unauthenticated document is not obtainable, and an embassy will not touch a document without the MEA stamp.

What it costs and how long it takes

The honest answer: it depends on the document type, the issuing state and the route — which is why this guide will not quote you one misleading number. Every combination has its own service page on this site with the current price and typical days, live from our catalog. The structural truth: state verification is the slow stage; MEA and embassy stages are comparatively fast and predictable. If your deadline is tight, the route choice at Step 1 is where time is won or lost.

The five defects that cause rejections

Lamination (stamps cannot be applied over plastic — delaminating safely is delicate work); name spellings that differ from the passport; missing prior-stage stamps; damaged or illegible seals; and photocopies submitted where originals are required. Every one of these is checkable before filing — which is why we inspect first and file second. If your document has one of these issues, you will know on day one, together with the fix.
